An “OK” incumbent, but was there something even better?

In professional services, the most significant technology cost is often not the direct cost paid to the vendor, but the cost of staying with an OK incumbent who performs well enough to prevent a conversation about what could be even better.

That was the dynamic the firm’s Assurance leadership found themselves examining. By most measures, the existing tool was working. It was delivering time savings. The team had built workflows around it. It was easy to think that there was no reason to question it.

Conversations about technology, however, are rarely settled for long. Client expectations were rising. Security requirements were tightening. Delivery pressures were climbing. Against that backdrop, a different question began to surface: was the existing tool the ceiling on what was possible, or simply the floor?

This was a hard question to ask, but it led to a galvanizing transformation.


WHERE THE GAPS WERE

Challenges that compounded over time

Eide Bailly’s Assurance teams were gradually facing growing challenges. While DataSnipper addressed parts of the testing workflow, it had several key gaps, including:

• It was a highly siloed tool that was disconnected from the rest of the firm’s tech stack.
• Document review remained slower and more fragmented than it needed to be.

• Files had to be downloaded to the desktop just to access the information inside of them.

• When team members identified issues with client data using DataSnipper, there was not an easy way to share those findings back with clients.

• As the size of client data grew, DataSnipper’s desktop deployment created a drag on system resources, slowing down work and increasing security risks

Document review was slow, collaboration was happening outside the system, and we were paying for tools that overlapped. We fixed all of it without adding a single new vendor.

THE PIVOT

Discovering an entirely new possibility

When Eide Bailly’s Assurance Transformation Team — working in partnership with IT and Security — began evaluating options, there were many to choose from.

If they were going to make a change, they knew they wanted a solution that was going to be better integrated, more secure, and would be easy to implement. Those requirements quickly disqualified many “point solutions” that are out there. Those would simply result in replacing one siloed and disconnected vendor with another, and would require team members to learn an entirely new system.

What they saw with Suralink’s Workpaper Suite was entirely different. They saw that Workpaper Suite was seamlessly  integrated with Suralink’s Request List Management solution, a platform their firm and client users already loved.

In addition, they saw the opportunity to unlock benefits that went far and
above what they had gotten from DataSnipper historically, including:

The Results

Easier than expected, better than anticipated

After using Suralink’s integrated approach during busy season 2026, the outcome was even stronger than the team had expected. Suralink had not just replaced what DataSnipper was doing. It had moved the ceiling on what was possible.

Based on conservative assumptions, the team estimated that Suralink’s integrated approach unlocked more than 4,600 hours of additional annual time savings on top of, and beyond, what DataSnipper had been providing. That additional savings will likely increase as adoption continues to grow across service lines.

 

The break-even threshold was perhaps the most decisive piece of the analysis. The program reached payback at just over two hours saved per effective user — a bar so low that it was obvious to everyone that this was the right decision.

Beyond the time savings, Eide Bailly validated it was experiencing the other benefits of Suralink’s platform as well: enhanced collaboration, better performance, and increased security all through a more integrated and simplified tech stack.

Adoption was the easiest piece. A coordinated rollout during busy season, planned alongside internal and client-facing communications, ensured teams understood what was changing and why. Disruption was minimal. The new way of working didn’t feel like an interruption.
